Job Summary

The Assistant Director of Lifelong Learning will assist in creating, maintaining, and increasing access to quality lifelong learning opportunities for alumni, fans, and friends of Purdue University.

Reports To

This role reports to the Director of Lifelong Learning.

Responsibilities

Essential Functions

  • The Purdue for Life Foundation is an organization that advances Purdue University by helping people who love Purdue stay connected, get involved, and give back.
  • The Assistant Director of Lifelong Learning will assist in creating, maintaining, and increasing access to quality lifelong learning opportunities for alumni, fans, and friends of Purdue University. This role reports to the Director of Lifelong Learning.

Additional Responsibilities

Lifelong Learning Programming and Opportunities

  • Assist in the development and implementation of lifelong learning programs.
  • Assist in the management and maintenance of 3rd party online learning platforms.
  • Oversee external lifelong learning programs.
  • Oversee day of event logistics including coordination of speakers and volunteers.
  • Assist in the maintenance of website content.
  • Act as liaison between speakers, vendors, and workshop attendees.
  • Enter requests into project management database.

Purdue Women’s Conference

  • Assist with all aspects of planning and overseeing the Purdue Women’s Conference.
  • Work with fellow Engagement staff in the planning process.
  • Assist in the identification and selection of speakers.
  • Assist in the pre-event preparation and orientation for speakers.
  • Correspond with speakers in a timely and professional manner.
  • Assist in day of event logistics.
  • Represent the Engagement team at planning meetings.
  • Work with Marketing and Special Events team to provide necessary information for conference planning.

Grandparents University

  • Assist with all aspects of planning and overseeing the Grandparents University program.
  • Assist in identification of speakers for Grandparents University program.
  • Assist in the pre-event preparation and orientation of speakers.
  • Correspond with speakers in a timely and professional manner.
  • Assist in day of event logistics.
  • Represent the Engagement team at planning meetings.
  • Work with Marketing and Special Events team to provide necessary information for program planning.

External lifelong learning offerings

  • Assist with course creation, course enrollment, withdrawals, and general inquiries.
  • Print and distribute course completion certificates.
  • Assist finance department in reconciling invoices.
  • Assist with tracking of enrollment metrics and marketing effectiveness.
  • Work with Marketing and Special Events team to provide necessary information for program planning.

Lifelong Learning Digest

  • Assist in getting requests submitted into project management database.
  • Attend meetings as representative of lifelong learning to ensure Digest content is accurate.

Lifelong Learning Website

  • Assist in the maintenance of the Lifelong Learning website by periodically reviewing for accuracy.
  • Submit updates and changes via the project management database as needed.

General Duties

  • Input Salesforce data as needed.
  • Pull Salesforce metrics and reports as needed.
  • Order supplies and equipment as needed.
  • Reserve rooms on campus for meetings and workshops as needed.
  • Work with outside venues to secure rooms, catering, etc. as needed.
  • Attend bi-weekly staff meetings.
  • Assist in reconciliation of invoices.

Skills, Knowledge and Abilities

  • Excellent communications skills, both written and verbal.
  • Professional demeanor and positive attitude.
  • Ability to provide customer service at the highest level.
  • Detail-oriented and strong organizational skills, including ensuring accuracy for all program and event details.
  • Microsoft Office experience preferred, specifically Excel and PowerPoint.
  • Self-motivated, with an ability to work independently.
  • Strong interpersonal networking skills.
  • Internal Purdue University knowledge a plus.
  • Salesforce experience a plus.
  • Ability to work occasional weekends and after hours.

Qualifications

  • Bachelor’s degree required; degree in hospitality, tourism, or similar field preferred.
  • 3-5 years relevant experience required.
  • Experience in customer service, project management, event planning and/or curriculum development experience a plus.

*This position is a full time hybrid position. In office and work from home hours will vary from week to week. Typically coming into the office around 3 days a week.
